Overview
The Paxon Hollow Men's Club ("PHMC") member application and its SMS notification program are operated by Tim Welch. In this policy, "we," "us," and "our" mean Tim Welch. The application lets club members enter scores, view tournament leaderboards and standings, and submit tee time requests. This policy explains what information we collect, how we use it, and your rights regarding that information.
Information We Collect
When you use the PHMC member application, we may collect the following:
Member information — your name, email address, GHIN number and handicap index, held in the club roster so that scoring and handicapping work correctly.
Mobile phone number — collected through the club contact form at phmc.golf/sms-optin. Providing a mobile number is optional and is not required to use any part of the application. Text messages are sent only if you also tick the separate, optional SMS consent box on that form.
Scoring and tee time data — your scores, playing group, and any notes submitted with a tee time request.
We do not collect payment information or any sensitive personal data.
How We Use Your Information
Your information is used solely to run the club's weekly rounds and tournaments.
Your mobile phone number, if you have provided one, is used by the club to contact you and, only if you ticked the SMS consent box, to send the text notifications you signed up for. It is never used for marketing and is never sold, rented or shared for anyone else's purposes.
Your scoring and tee time data is used by club administrators to run the Sunday schedule, produce leaderboards, and post scores to GHIN where applicable.
SMS Messaging
SMS consent is collected in one place only: the contact form at phmc.golf/sms-optin, by ticking a separate consent box that is unticked by default and labelled optional. The form can be submitted without ticking it. Consent is not a condition of club membership and is not required to use any part of the application. We keep a record of each consent (name, number and date).
The tee time request form does not collect a phone number and does not send you a text message. Submitting a tee time request does not sign you up for SMS.
Messages cover the weekly round schedule, same-day weather delays and cancellations, and club announcements. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out. Reply HELP for help.
SMS notifications are delivered via Twilio, our messaging provider. Your phone number is transmitted to Twilio solely so that the message can be delivered to you.
Data Sharing
We do not sell, trade, or rent your personal information.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Mobile numbers are disclosed only to our messaging provider, Twilio, acting as a subcontractor for the sole purpose of delivering the messages you asked for, or where disclosure is required by law.
Data Security
Access to the PHMC application and member data is restricted to authorized club administrators. We take reasonable precautions to protect your information from unauthorized access.
